CaptivateIQ Introduces Payee Lifecycle Management Automation to Streamline Commission Plan Administration at Scale

In today’s dynamic business environment, managing payee onboarding, offboarding, and all the job changes in between is a complex challenge — especially when it comes to ensuring payees are properly configured for sales commissions.

Within commission plan administration, Payee Lifecycle Management refers to all the ongoing tasks comp admins and IT admins have to perform to manage payees joining, moving within, or leaving their organization.

For many admins today, managing the payee lifecycle is a significant burden. Onboarding a new payee demands as many as seven actions — from license provisioning, to defining reporting relationships, assigning comp plans, and more.

A bird's eye view of Payee Lifecycle Management.

The traditional process of completing these actions manually is time-consuming and error-prone.

Each step relies on data inputs from several departments and applications – introducing friction, bottlenecks, opportunities for human error, and security risks. The pressure to deliver accurate, on-time payouts is exacerbated by these inefficient processes. And for enterprise organizations with hundreds or thousands of payees, the pain and stress is even more acute.

To solve these challenges, CaptivateIQ is excited to introduce Payee Lifecycle Management Automation, the first Incentive Compensation Management offering with a vision to automate every step of Payee Lifecycle Management, end-to-end.

A Vision for End-to-End Automation of Payee Lifecycle Management

To automate Payee Lifecycle Management in full, CaptivateIQ will draw from its integrations with key sources of truth (e.g., Identity Providers, HRISs, and CRMs) to pull in user identity information and payee attributes. Combining this data with configurable rules, CaptivateIQ can then intelligently automate Payee Lifecycle Management tasks.

Here’s how it will work:

As a first step, CaptivateIQ integrates with Identity Providers to automate user provisioning. Next, if a new user is identified as an AE in North America, rule-based assignments will allow her to inherit the North America AE comp plan, be placed within the North America AE hierarchy, and inherit accompanying comp plan variables — all in one fell swoop.

In effect, we will be able to consolidate the current manual 7-step onboarding process into an automated 1- or 2-step process.

Deep automations for Payee Lifecycle Management.

Across SaaS platforms, organizations are increasingly modernizing and automating the way they onboard and offboard employees – but compensation tools have not kept up. Our goal is to finally relieve comp admins of the manual burdens of Payee Lifecycle Management with simple, secure, and scalable automations. — Naveed M., Vice President of Product, CaptivateIQ

Today, we are excited to announce the release of our first Payee Lifecycle Management automation capability: Automated User Provisioning & Deprovisioning. Subsequent planned automations include: definition of payee attributes, configuration of reporting relationships, and assignment of comp plans, permissions, and payee variables.

The full feature set will streamline complex employee management processes, drastically reduce manual data entry, and de-risk commission administration at scale.

Automated User Provisioning & Deprovisioning within CaptivateIQ

A critical first step of Payee Lifecycle Management is user provisioning. Many businesses leverage Identity Providers (IdPs) like Okta, Azure Active Directory (AAD), and OneLogin to centrally manage access to their internal suite of tools.

CaptivateIQ now supports SCIM (System for Cross-domain Identity Management) Provisioning to automatically synchronize user provisioning, deprovisioning, and metadata updates with customers’ preferred IdPs. When an organization adds, modifies, or deletes a user from their IdP, those changes can now automatically be reflected in CaptivateIQ, making it easier to manage access to the platform as employees join, move, or leave the company.

Several CaptivateIQ customers today are already benefiting from this new automation to decrease manual overhead, and reduce the impact of human error.

Managing the payee lifecycle has historically been one of the most painful parts of my job. With the new SCIM integration, it takes me a fraction of the time to onboard a new rep. A lot of the manual inputs I was having to enter into the system are now populated automatically, reducing time and the possibility for human error. Lucy D., Senior Accountant, Axonius
Ensuring incoming employees are provisioned and departing employees are de-provisioned in a timely manner has always been a crucial, but manual process. Now, by using CaptivateIQ's automated user provisioning integration, this process happens in a fraction of the time it used to, and allows for a much smoother in-and-out transition for all of our affected users. — Matt K., Sales Incentive and Compensation Manager, Abnormal Security
An example of how Automated User Provisioning works.

CaptivateIQ is the first incentive compensation solution to enable this innovative approach to automate user provisioning and deprovisioning, once again setting the standard for how businesses can more effectively manage their compensation programs, with any number of payees.

A key outcome of this approach is reducing the security risks associated with manual deprovisioning. One of the most common issues identified in industry security audits such as Sarbanes-Oxley (SOX) and System & Organization Control Reports (SOC 1 & 2) is ensuring access for users who have been terminated — or who have simply changed roles — is removed in a timely manner.

In most organizations, this is a multi-step process requiring notification from an employee supervisor to HR, HR to the IT team, and in some cases, IT to the application owner. This often leads to a delay in access removal and a possible exception during your next security audit.

Payee Lifecycle Management automation removes the burden of multi-step deprovisioning processes, and helps ensure your continuous compliance by swiftly deprovisioning users once an employee is suspended or transferred within your HRIS system.
